Farm machinery workshop softwareServiced by the hour, not the kilometre

Set MechOS to engine hours and every tractor, header and loader is read in hours: on the job, on the invoice and in the reminder that brings it back for its next service. Book the call-out to the farm, quote the job from your phone, and keep track of the parts that take weeks.

Engine hours, start to finish

Hours on every reading

The reading taken on the job goes on the invoice in hours, the machine’s last reading sits beside the box, and its service history lists the hours at each visit.

Reminders at the next service

A service reminder starts at the job’s hours plus your interval, 250 hours unless you set another, and you can change it on any job. It goes on its date, and your wording can include the hours it’s due at.

Machines with no plate

Tick Not registered on the card and the job shows it, so nobody takes it for a road test. The serial number goes in the VIN box.

Out at the farm

Jobs on the phone

Techs open their own jobs from My Jobs, with the address, start the timer, take photos and fill in checklists, all in the phone’s browser.

Call-outs booked online

Your booking page can ask whether the customer is coming to you or needs you to come to them, and takes the address when they do. You approve every request before it reaches the diary.

Paid before you leave

Send the invoice as a link the customer taps to pay by card, once your VenueSmart account is approved.

Parts that take weeks

Every job waiting on parts

The Parts Centre lists each job waiting on a part, with the supplier and the ETA to chase, until every part has arrived.

Orders that arrive in parts

Raise a purchase order, receive what turned up, and the rest stays on order. Stock only moves on what actually arrived.

Deposits on the job

Record a part payment and note it as a deposit. The job can be part paid and still wait on parts.

Checklists you write yourself

Make your own pre-season or harvest check, with OK, Soon or Now on each line, measurements and photos, and send the customer their copy as a link or a PDF.

Quotes approved from a link

The customer opens the quote on their phone, sees your photos, and approves or declines it. The answer comes back with the time.

Questions farm machinery workshops ask

Can a machine be serviced by engine hours?

Yes. In Settings, set New vehicles are measured in to engine hours, or switch one machine on its own card. Its readings, invoices and reminders are then in hours, and a reminder can say “or at 1,250 hours”.

What about machines with no rego?

Tick Not registered on the machine’s card, so everyone knows it can’t be road tested. The rego can stay blank, and the serial number goes in the VIN box.

Can we work out on the farm?

Yes. Techs see their own jobs on their phone, with the address. If you work mobile, customers booking online can ask you to come to them and give the address.

Can we take a deposit before ordering parts?

Yes. Record a part payment and note it as a deposit. The job stays on the Parts Centre list, showing what’s in and what isn’t, until every part has arrived.
